How to Calculate WhatsApp Campaign ROI, Step by Step

A plain method for working out whether a WhatsApp campaign paid off, with a worked example, the numbers to collect and the mistakes that inflate results.

Start with what you kept, not what you sold

The most common mistake in campaign reporting is to quote revenue as if it were profit. A campaign that brought in ₹1,00,000 of sales did not make ₹1,00,000. After the cost of the goods or service, and after the cost of sending the messages, much less is left. Return on investment, or ROI, is about that smaller number.

The sum has three parts. First, the profit the campaign's orders brought in. Second, what it cost to send. Third, the difference between them, divided by the cost.

The chain from message to profit

Every campaign follows the same chain. Each step takes a share of the one before it.

  1. Messages sent: people in the campaign, times the number of campaigns.
  2. Delivered: the share that reached a phone.
  3. Responses: the share of delivered messages that got a click or a reply.
  4. Orders: the share of responders who bought.
  5. Revenue: orders times your average order value.
  6. Profit before messaging cost: revenue times your margin.
  7. Net profit: that profit, minus what the messages cost.
  8. Return on cost: net profit divided by the messaging cost.

Because each step multiplies the next, a small gain early in the chain, such as a better first line that lifts responses, carries all the way down to the profit.

A worked example

Say a shop messages 5,000 past buyers four times a month, which is 20,000 messages. The figures below are examples chosen to show the method, not results to expect.

A 109% return means the campaign paid back its cost and made slightly more than the same amount again. The same shop could run the exact same sums for SMS and email in the free ROI calculator and see all three side by side.

Collect your own numbers

You will not get a trustworthy answer from example figures. Gather these from your own records:

  • Your list size for the campaign, counting only opted-in contacts.
  • Average order value and margin, from your sales report and accounts.
  • Price per message, from your provider's price list or invoice. For WhatsApp, check Meta's current rate for your country, and add anything your provider charges on top.
  • Delivery, response and buying rates, from your platform reports and your orders.

If you do not have a figure yet, make a careful estimate, mark it as an estimate, and replace it after your first real campaign.

Count only what the campaign caused

Some of the people you message would have bought anyway. If you credit the campaign with every sale to those people, you will overstate the result. Two habits help:

  • Use a coupon or a tracked link per channel, so orders can be matched to the message that brought them.
  • Keep a small holdout group. Leave a random few percent of your list out of the campaign and compare their buying with the group you messaged.

Do not leave out fixed costs

Subscriptions, number rentals and platform fees count even in a month when you send little. Add them to the cost, or the return will look better than it is.

Check your break-even

The break-even conversion is the share of responders who must buy for the campaign to cover its cost. In the example above it is about 2.4%, and the example assumes 5%. If your own buying rate sits close to break-even, a small slip can turn a profit into a loss. If it sits far above, you have room to test and to spend more on getting responses.
