The short answer
Once the chatbot is on your website, everything it collects appears in three places inside your AiSend dashboard:
- Leads → Website chats lists every conversation the chatbot handled on your website.
- Leads → All leads shows the people who filled in the lead form inside the chat, together with every other lead source.
- Contacts keeps a record for each visitor who shared their details, so you can message them later.
The rest of this guide shows how to open each one, what the columns mean and what to do next. If you have not built your chatbot yet, start with the free AI chatbot widget tool, which creates a chatbot from your website address in about a minute.
Step 1: Put the chatbot on your website
Open Website Widget in the left menu. This page controls how the chat bubble looks and holds your embed code. Set the bot name, welcome message, colour and the delay before the bubble nudges visitors, then press Save.
Copy the embed code shown on the page. It is a single line that starts with a script tag. Paste it just before the closing body tag of your website, or into the custom code or footer scripts area of your website builder, and save the site. Open your website in a private window and check that the chat bubble appears.
If you created your chatbot with the free tool before signing up, a green card at the top of this page walks you through applying its look, teaching it from your website and turning it on.
Step 2: Make sure the agent is on
The chatbot answers using an agent from the AI Agents page. New agents are created switched off on purpose, so nobody starts talking to real customers by accident. Open the agent, read its wording and save it, then switch it on. A paused agent is labelled "paused" in the list and a live one shows "Live".
Reading the agent before you turn it on matters. The knowledge it learned from your website is quoted text, but the persona is a draft, so check that it does not promise anything your business has not agreed to.
Where the conversations appear: Leads → Website chats
Go to Leads and open the Website chats tab. Each row is one conversation between a visitor and your chatbot. You will see:
- The visitor's name and phone number, once they have shared them. Before that, the visitor is anonymous.
- The last message in the conversation, so you can see the topic at a glance.
- When it last moved, with the most recent chats at the top.
- A status, such as open or closed.
- A needs-attention flag, which appears when the chatbot hands the conversation to a person, for example when a visitor asks for a human or raises something it should not handle alone.
Start your day by sorting out the flagged conversations. They are the visitors who asked for something the chatbot could not or should not answer, and they are usually your warmest leads.
Where the lead form submissions appear: Leads → All leads
When the chatbot sees real interest, it can show a short form inside the chat asking for a name and phone number or email. A submitted form becomes a lead with the source website widget. You will find it in Leads → All leads, in the same list as your Meta ads, Google Ads and WhatsApp leads.
If the same person reaches you through more than one channel, the list shows them once with a touchpoint count, so you can see that someone who clicked your ad also chatted on your website. Use the search box and the source filters to look only at website leads, and use Export CSV if you want to take them into a spreadsheet.
The submitted details are also added to the conversation itself, so when you open the chat you can read what the visitor asked before they left their number.
Where the contacts appear: Contacts
Visitors who share a phone number are saved in Contacts. This is where you tag them, add them to a broadcast list and send them a WhatsApp message later. Because they asked a question first, your follow-up has context, which is why it gets better replies than a cold message.
How to follow up on a website lead
- Read the conversation first. The questions the visitor asked tell you what they care about, whether that is price, delivery or availability.
- Reply fast. A lead who chatted with you a few minutes ago is far more likely to answer than one you contact tomorrow.
- Use WhatsApp. Most customers reply there sooner than to a call or email. Open the contact and send a short, personal message that refers to their question.
- Use an approved template if the chat window has closed. WhatsApp lets you send free-form replies only within 24 hours of the customer's last message. After that you need an approved template. Our guide on why WhatsApp templates get rejected shows how to write ones that pass.
- Mark the outcome. Update the status or tag so you can see later which leads turned into customers.
Seeing which pages bring chats
The Clicks tab under Leads records taps on your WhatsApp and call buttons across your website, with the page they happened on. Together with the Website chats tab, it shows which pages create the most enquiries, so you know where to improve your content or place the chat bubble.
If you do not see any leads
Work through this checklist in order:
- Is the embed code on the live site? View your website's page source and search for the widget script.
- Is the widget active? On the Website Widget page, make sure it is switched on.
- Is the agent live? A paused agent will not answer.
- Did you test it? Open your site in a private window, send a message and check whether a conversation appears under Website chats within a few seconds.
- Is the page cached? If you use a caching plugin or a CDN, clear the cache after adding the code.
- Have visitors actually shared details? Conversations appear even without a phone number, but lead form submissions and contacts appear only when someone fills the form.
Tips to get more leads from the chatbot
- Write a greeting that tells visitors what the chatbot can help with, such as prices, bookings or delivery.
- Add suggested questions that match what customers really ask.
- Keep your pricing, delivery and contact pages clear, because the chatbot answers from them.
- Place the chat bubble on pages where decisions are made, such as pricing and product pages.
- Check Website chats every day and read the unanswered questions. Each one is a gap in your website content that you can fix.
